Mail assistant: sorting the inbox without auto-send

The topic, the urgency, the priority with the proof and a draft from the knowledge base — and not a single email is sent without a human.

Short answer: The mail assistant classifies the incoming emails by topic and urgency, identifies separate reasons for priority and prepares a draft reply from the corporate knowledge base. Legal inquiries automatically block auto-generation, and not a single draft is sent without human confirmation.

What the assistant does with an email

Every email gets a multidimensional assessment: the topic (Sales, Technical, Service, Legal, Accounting, HR), the urgency from routine to critical, the intent and the tone. The highest-priority signal determines the priority: a legal risk, a large order, a complaint or a deadline are stored separately, each with a proof from the text.

Drafts from the knowledge base

Before generating a draft, the assistant finds the relevant documents in the corporate base: regulations, contracts, FAQ, historical inquiries. Sales gets a draft with the calculation context, Technical — a reply with references to the regulations, and for Legal the auto-generation is blocked: a package for the lawyer is formed.

Critical inquiries

Emails with signs of damage, security, legal risk or escalation are delivered via Telegram or Slack within 30 seconds. The criticality rules are deterministic: instructions inside an incoming email cannot override them.

The human in the loop

Not a single draft is sent without an explicit confirmation: the manager reviews, edits, rejects or regenerates the reply, every action is recorded in the journal. This removes the main risk of mail automation — the irreversible send.

The limits

The classification and the draft can be wrong about the context, the intent or the legal meaning of an email — before sending, the result is checked by an employee. That is why the assistant is positioned as sorting and preparation, not autonomous sending. More — on the subagent's page.

Questions and answers

Does the assistant send replies itself?

No: the final text and the recipients are confirmed by a human; legal inquiries automatically exclude auto-generation.

Do the emails go to the cloud?

In a local configuration without external integrations, email content and the knowledge base remain inside the company's approved perimeter; classification runs on a local model.

Which topics does the classification support?

Sales, Technical, Service, Legal, Accounting, HR; the categories are editable per company.

Does the assistant send emails on its own?

No: the final text and the recipients are confirmed by a human; nothing is sent on its own.

Which quality metrics are declared?

Macro-F1 of the classification ≥ 0.90, recall on the critical topics ≥ 0.99; the share of emails with a prepared draft ≥ 60%.

How is the priority of an email determined?

By the highest-priority signal: deadlines, obligations, risks and missing information are highlighted separately.

What happens with legal emails?

A rule blocks the auto-generation of the final answer on a legal topic: the email requires the involvement of the relevant specialist.

Does the assistant keep the company's tone?

Yes: the draft is formed in the accepted tone according to the company's rules.

How quickly do critical email alerts arrive?

Alerts for critical topics — no more than 30 seconds (depending on the server).

Where does the assistant run?

In the cloud, team or local perimeter — once mailbox access is approved.
